The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a part-time (50% of full-time effort) Project Coordinator who will report to the Division Chief and Division Administrator. The successful candidate will assist for the overall financial and administrative management of the Division, including grant administration responsibilities.

Duties and Responsibilities:

Administrative responsibility across three entities: Research Foundation for Mental Hygiene (RFMH), New York State Psychiatric Institute (NYSPI) and Columbia University (CU) Psychiatry

  • Process purchase requisitions for the Division, follow up on bills, payments, and invoices
  • Set up vendors and contractors, resolve issues
  • Process timesheets, travel and business expense reimbursement for faculty and staff
  • Keep track of annual certifications for research personnel
  • Process J-1 visa applications and extensions for foreign research and students of the Division
  • Keep track on Academic appointments at CU for research faculty and staff
  • Provide administrative support for the Division Chief and Division Administrator

Minimum Qualifications:

  • Expert organizational and interpersonal skills, and the ability to multitask in a dynamic and complicated


  • Ability to work within financial systems.
  • Proficiency in Excel.
  • Bachelor's degree required.

Preferred Qualifications:

One to three years of administrative experience in a large complex academic or research setting working with research budgets; experience with financial management of pre and post grant awards procedures and processes; ability to manage complex, detailed, and multistep projects.

In accordance with NYS Office of Mental Health regulations, RFMH employees at NYSPI are required to be vaccinated with at least one dose of vaccine against COVID-19 by Monday, November 1st, 2021, and to be fully vaccinated by December 10, 2021.
