Works part-time under the direct supervision of the Finance Director performing a variety of complex, technical, and general administrative duties needed to ensure the financial management of the City.

Works part-time under the direct supervision of the Human Resource Director performing a variety of general administrative and clerical duties as needed to expedite and coordinate the administrative, secretarial, or clerical functions of the City's administrative offices.


Prepares A/P on a weekly basis. Processes invoices for payment, creates and delivers payments, scans all documents into accounting software.

Processes requisitions into purchase orders daily. Processes year end close out of open purchase orders.

Processes daily cash deposit and delivers to bank.

Processes monthly Bank of America purchasing card statement and payment.

Prepares various reports/documents using Excel, WORD, or Power Point; reviews content for accuracy and completeness; makes grammatical and technical changes to content as needed; performs routine research and gathers data as needed to compile or complete reports as requested; performs financial analysis of projects and City activities.

Assists the Finance Director in day-to-day financial activities of the City as needed and requested.


During Administrative Assistant absence, may provide backup to perform administrative support duties; greets the public in person and answering the phone; provides direction to various requests, questions and services.

Process new fitness center memberships, educates new members on fitness center rules, updates members in WinDSX, maintains member files, sends renewal reminders, etc.

Signs for incoming mail and delivers to appropriate staff.

May cross train to assist the Human Resources Director.

Performs related and additional duties as required.


1. Education and Experience: A. Graduation from high school with course background in accounting, bookkeeping or other related field, plus specialized training provided through professional workshops, in-service or on-the-job programs; experience in governmental accounting preferred; AND B. 2-5 years of experience related to above duties; preferably in a governmental environment. OR C. An equivalent combination of education or experience.

2. Knowledge, Skills, and Abilities: Working knowledge of bookkeeping and general accounting techniques most appropriate to computerized systems; personal computer operations and applications. Some knowledge of laws and regulations governing accounting responsibility and related regulations; general office management; interpersonal communication skills. Skill in the operation of personal computer and data entry software, including Microsoft Excel and Word. Ability to work quickly and accurately with numbers; perform advanced mathematical computations; operate various types of office equipment such as 10-key, keyboard, copy and fax machine, etc.; work under time pressures in meeting deadlines; communicate effectively, verbally and in writing; develop and maintain effective working relationship with elected officials, professionals, the public, and fellow employees. Strong customer service experience and knowledge.

3. Special Qualifications: Must have a valid New Mexico drivers' license. Must be bondable and eligible to serve as a notary. Spanish as a second language is strongly preferred.

4. Work Environment: Typical office setting with typical climate controls. Tasks require a variety of physical activities such as walking, standing, stooping, sitting, reaching, and generally not involving muscular strain. Job functions normally require talking, hearing, and seeing. Common eye, hand, and finger dexterity required for most of the essential functions. Mental application utilizes memory for details, verbal instructions, emotional stability, discriminating thinking, and creative problem solving.
