The mission of Beloit College's Office of Advancement is to inform external constituents of the College's mission and goals, to involve them as volunteers in fulfilling its mission, and most importantly, to inspire them to invest their resources in support of the identified current objectives and future dreams. The Director of Stewardship (DAS) is an integral part of a team that cultivates mutually beneficial relationships with alumni, parents, corporations, foundations, and friends to secure private support for the College.
The key essential functions of the Director include planning and executing annual stewardship strategies for the College. The Director is responsible for timely and effective stewardship of all donors to the College with a focus on the value of giving and the importance of maintaining donor relationships. The Director will work closely with the Director of Alumni Relations to coordinate programs and events designed to inform donors about their gifts and enhance positive relationships through stewardship events. The Director also oversees the timely production of annual reports to donors and works with the Office of Financial Aid to ensure that all available funds are distributed to the appropriate students. This position is responsible for all stewardship reporting and the liaison between development and other institutional partners.
The Director must be able to convey to a multitude of audiences the College's mission and seek their engagement and support. The Director must exercise strong initiative and independent judgment in executing the office's ongoing work in an environment that is both very fast-paced and very dynamic. This position helps the Executive Director read and understand the organizational culture and serves as a sounding board for decision-making. The Director works with highly confidential information on a daily basis and uses discretion in sharing information with internal and external stakeholders.
Characteristic Duties and Responsibilities:
- Develop, implement and build a comprehensive annual stewardship program to include multi-channel communications, the identification of new donors, and the engagement and retention of current donors working in consultation with the Executive Director and other development staff.
- Develop, implement, and build a stewardship program to thank and cultivate donors.
- Conduct best practices in donor relations and stewardship, ensuring proper policies are in place and executed, including responding to and thanking donors appropriately and in a timely manner.
- Coordinate programs and events designed to inform donors about their gifts and enhance positive relationships through stewardship events working closely with the Director of Alumni Relations and Events.
- Create and maintain appropriate policies and procedures for gift acknowledgements, segmenting the acknowledgement system based on giving and working in collaboration with the development support staff
- Prepare gift acknowledgements for all gift levels working collaboratively with the development support staff.
- Design and execute personalized stewardship reports for all endowment and planned giving donors.
- Oversees consistent protocols for acknowledging, recognizing, and reporting about gifts from key donors, while ensuring capacity for timely stewardship, when appropriate.
- Aids in the creation of and ensuring the accuracy of donor and gift information for annual reports and donor honor rolls.
- Serves as primary campus contact for all gift fund expertise and historical context, helping to resolve problems, questions, and concerns.
- Composes and delivers annual endowment reports in partnership with the Donor Stewardship staff.
- Participates in collaborative efforts to design and execute premier donor recognition/cultivation events.
- Maintains a documented process for keeping leadership acknowledgments and stewardship documentation fresh and appropriate.
- Works in consultation with the Office of Finance and the Office of Financial Aid to accomplish fund management and reporting goals.
- Maintain data for stewardship records and ensure that donor records are properly updated.
- Assist in designing and executing events to inform donors about the College's work and the impact of their support with the development staff.
- Contact donors, as appropriate and according to development office protocol, to acknowledge their gifts and strengthen relationships with the College.
- Assist the Executive Director in the development of alumni, faculty, student and staff giving campaigns in conjunction with student and young alumni philanthropy efforts.
- Assist planning and executing annual events to further engage alumni, parents, and friends of the College, including Homecoming & Reunion Weekend, affinity reunions, and co-sponsored events that support the College's mission.
- Develop, in close collaboration with the Executive Director, market segments of alumni, parents, and friends for targeted communications including event marketing materials, awareness campaigns, appeals, stewardship efforts, etc. Collaborate closely with many areas of campus to ensure effective communications regarding the importance of volunteerism, engagement, and personal philanthropy in alumni and parent relations programming.
- Attend events, on and off campus, as a representative of Beloit College.
- Perform other duties as needed. Some travel, evening and weekend hours required.
Credentials and Experience:
- Undergraduate degree required.
- 3-5 years of professional experience preferred.
- Experience working with diverse populations preferred; willingness to work with diverse populations required.
- Experience planning, organizing, and prioritizing multiple tasks and projects simultaneously with frequent interruptions is required.
- Demonstrated success in strategic oversight of a complex program.
