Position Summary:

The Director of Maintenance is responsible for providing leadership, direction and management for the continuous improvement of the Maintenance Department. This role is responsible for the overall maintenance operations of the Company's operating budgets. The Director will help establish and enforce safety rules and policies and procedures of the Maintenance department.

- Residential Property Management: 3 years (Preferred)

Primary Responsibilities include each of the following areas:

Maintenance Operations

  • Responsible for achievement of annual goals, objectives and profitability for the Maintenance Department
  • Develop initiatives, policies and procedures and programs with the aim of continuous improvement of maintenance operations and standards
  • Directs department operations, the maintenance of services and the implementation of new programs and/or processes (e.g., site repairs/construction, preventative maintenance, quality control) for the purpose of making recommendations and/or implementing actions that provide services with established timeframes and in compliance with related requirements
  • Review Budget, Special Projects and Investor Reports regularly to understand and recommend corrective measures needed to improve the accuracy of estimating, improving methods of completing work orders and asset reporting
  • Assists in project asset walks, capital walks, financial reviews and the creation of annual budgets for operating, capital and development
  • Oversee all building operations, maintenance and major repairs in compliance with building code and requirements. (HVAC, Electrical, Irrigation, and Plumbing)
  • Develop, implement, and supervise preventative maintenance and renovation programs
  • Provide project cost estimates; monitor budgetary guidelines; order equipment and supplies and monitor inventory
  • Ensure requests for service, unit turns, property assignments and unit renovations are being completed in an efficient and effective manner and according to budgetary guidelines and quality standards
  • Prepare and submit budget estimates and cost tracking reports in a timely and accurate fashion
  • Oversee the preparation and specifications for special projects, negotiate and or solicit bids with contractors, vendors for quality conformance to specifications, cost requirements and approval processes
  • Responsible for Monthly Forecasting of both Project Budget and Schedule, including proactively addressing related risks
  • Manage and Accountability for all external vendors necessary for timely completion within budget
  • Track and manage contemplated budget variances, Change Orders and reallocations for each project
  • Ensure requests for service, unit turns, property assignments and unit renovations are being completed in an efficient and effective manner and according to budgetary guidelines and quality standards

Safety & OSHA

  • Safety Committee Lead
  • Develop, implement and coordinate all Occupational Safety and Health policies and procedures (OSHA) as it relates to field maintenance operations and maintenance team members
  • Assure company compliance with all relevant Local, State, and Federal Occupational Health & Safety Administration (OSHA) and Environmental Protections Agency (EPA) rules and regulations for field maintenance
  • Implement continuous safety, health, environmental and ergonomic improvements procedures.
  • Identify safety needs and educate and motivate all levels of the organization to put safety first and drive the facility toward a zero-accident safety culture.
  • Analyze safety trends and make recommendations

Personnel Management

  • Direct, supervise, and evaluate direct reports; ensure department team members receive training related to specific job tasks and responsibilities
  • Hire, build, educate, train, and motivate the maintenance team to ensure safety, quality delivery, and cost goals are achieved through operational excellence and people development
  • Collaborate with Directors and Regional Managers for workforce planning and create a candidate bench strength
  • Support Regional and Onsite Managers in their needs for maintenance work to be completed
  • Exercise discretion when making recommendations concerning the appointment, retention, promotion and assignment of all department personnel
  • Conduct regular same page meetings with maintenance leads; make recommendations for systems and process improvements.
  • Conduct candidate interviews and new hire onboarding; provide direction, coaching and mentoring for department.

Client & Resident Relations

  • Understand financial goals, operate asset in client's best interest in accordance with company policies & procedures, and comply with Fair Housing, State and Federal laws.
  • Handle facility complaints and organizational customer service issues in a professional and courteous manner.
  • Demonstrate ability to work cooperatively and collaboratively with the public
  • Respond to a wide variety of inquiries from the public for the purpose of resolving problems, providing information and/or referring to appropriate personnel.

Essential Knowledge, Skills, and Abilities:

Demonstrate a high level of understanding of project budgets, contract negotiation, scheduling and value engineering life cycle costing.

  • Mastery knowledge of Building codes, Fair Housing rules and regulations, and other applicable laws, codes, regulations, policies and procedures
  • Planning, organization and direction of the maintenance and repair activities of buildings, grounds and associated equipment
  • Possess working knowledge of: plumbing methods, tools, principles; HVAC units, electrical, buildings, custodial care, landscape activities; carpentry materials, installation procedures, and repair techniques; dry wall, patching methods, and materials; safety hazards, personal safety, and equipment safety procedures as it relates to maintenance work
  • Effective communication, time management, organizational and problem - solving skills, with strong attention to detail
  • Understand blueprints and schematic drawings
  • Ensure compliance with safety practices and various code requirements
  • Interpret, apply and explain rules, regulations, policies and procedures
  • Analyze situations accurately and adopt an effective course of action
  • Ability to meet schedules and timelines
  • Ability to establish and maintain highly effective working relationships with the public and fellow employees
  • Strong understanding and knowledge of Property Management softwares and how they function with maintenance
  • Technological literacy that includes MS Office (Word, Excel, Outlook)

Qualifications:

  • Five (3) years of property management experience
  • Minimum three years in a supervisor capacity
  • Must be able to effectively write, speak, and understand fluent English
  • Proven ability to inspire confidence, motivate, persuade and negotiate effectively
  • Bi-lingual in both English and Spanish is a plus, but not required.

Physical / Environmental Requirements

  • Prolonged periods sitting at a desk and working on a computer
  • Will be exposed to constant activity that requires intermittent standing, bending, crouching, pushing/pulling, lifting/moving/carrying, climbing ladders/stairs, and walking on rooftops
  • Requires the ability to lift up to 50 pounds; occasional team lifts of 100 lbs. or more
  • Requires manual dexterity sufficient to operate small-motorized equipment (i.e., repetitive hand/wrist, griping and elbow motion)
  • Must have normal range of hearing, vision, color discrimination and depth perception for proper operation and repair of machines, wiring, and equipment.
  • Will be exposed on a regular basis to outdoor environment (i.e., heat, cold, damp, rain, etc.).

** $1,500 Sign on Bonus will be awarded as follows: $500 on Month 3 of employment, $500 at Month 6, and another $500 at Month 9.
