The National Association for the Education of Young Children (NAEYC) is seeking a Conference Meeting Planner to provide support for NAEYC signature events, which include the Public Policy Forum, Professional Learning Institute, Annual Conference, Internal Meetings, and other future events. NAEYC's events range in size from 800-8000 attendees. Events are typically hosted in-person with flexibility for virtual and hybrid. In-person events are held at convention centers and hotels and often at multiple sites.

NAEYC is a professional membership organization that works to promote high-quality early learning for all young children, birth through age 8, by connecting early childhood practice, policy, and research. NAEYC advances a diverse, dynamic early childhood profession and supports all who care for, educate, and work on behalf of young children.

Key Responsibilities

  • Coordinates housing for staff, vendors, and VIPs for NAEYC's events; works closely with a third- party provider of housing services; coordinates hotel accommodations for attendees at NAEYC internal meetings held in Washington, DC
  • Drafts communication for presenters, staff, and attendees; coordinates staff travel requirements; updates the abstract management databases to include changes to session titles, descriptions, contact information, assists with preparation of event final programs
  • Prepares RFPs in accordance with event needs; completes bid analyses; collaborates with the Finance and Legal teams to finalize vendor services agreements; supports the conference budget process; reconciles conference invoices
  • Provides exceptional attention to customer service support to conference presenters and attendees; responds to inquiries via phone and email; and provides registration support as needed

Education and Experience

BS/BA degree in a related business field preferred

Minimum 4 years' experience in the meeting industry in a comparable meeting planning support capacity. Will consider candidates with an equivalent combination of education, training, and experience.

Project management experience

Experience with abstract management databases and working in MS365

Knowledge, Skills and Abilities

Strong attention to detail and ability to multitask

Excellent communication skills: writing, verbal, listening

Must be flexible and able to work efficiently and cooperatively in a team environment

Demonstrated strong administrative organization skills, database management, and ability to think things through to find positive solutions

Position Designation(s): Business Continuity and Required Travel: Business Continuity indicates that the role is critical to business operations and may be called upon to be present in the event of an emergency or crisis. Required Travel indicates that domestic and/or international travel is a key part of this position, with this role being focused on domestic travel with international travel currently unlikely.
