JOB DUTIES

ESSENTIAL DUTIES:

This position is a managerial position responsible for the accurate, efficient, and service-oriented operation of the administrative functions of the Farmington Civic Center divisions, including contracts and box office functions.

Works under the general supervisor of the Civic Center Supervisor

Assists the Civic Center Supervisor with administrative and supervisory work necessary to

coordinate and supervise the Civic Center, Lions Wilderness Amphitheater, and Totah Theatre and related special events.

Manages all bookings for facilities utilizing the EventPro booking software, including inventory management.

Negotiates and facilitates the execution of all contracts for the Civic Center, Lions Wilderness Amphitheater, and Totah Theatre under the direction of the Civic Center Supervisor and the PRCA Director. This includes all rentals, events, performance, and entertainment contracts.

Promotes the Farmington Civic Center including the Miriam Taylor Theater, The Totah Theatre, and Lions Wilderness Park Amphitheater for the benefit of the citizens of Farmington.

Manages the overall operation of the ticket office and provides for the ordering, sale, and accounting for all tickets sold for events at divisional facilities in accordance with the City of Farmington cash handling procedures.

Oversees all ticketing needs utilizing appropriate ticketing software programs.

Assists with the collection and dissemination of marketing information as related to ticket sales and customer service goals.

Prepares ticket office reports or event settlements and assists senior staff in settlement with promoters.

Manages group sales program and, as needed, subscription series accounts for building clients.

Handles complaints, ticket problems, and customer service issues in a fair, professional, and courteous manner. Interactions with the public occur on a regular basis and must be a welcoming and optimistic experience, even in difficult situations.

Maintains and regularly updates calendars, electronic messages and other ticket office information equipment with event information, sales dates, prices and times.

Facilitates the scheduling, organizing, and performance reviews of the Civic Center staff for accountability of the division. Coordinates work plans for on-going operations and facility upkeep and maintenance.

Manages a special event facility with constantly changing priorities.

Experience with basic marketing techniques and the ability to create events in sets of series and build a full season of performances and events and offer those series to the public in various packages.

Working knowledge of the principles and practices of management, work organization and supervision including budgeting principles, revenue, expenditures, and cost analysis.

Performs a variety of administrative, technical, and professional work in providing information, assistance, and/or reports to the public, City Departments, State, and Federal agencies.

Supervises the Administrative and Box Office personnel. May supervise support personnel, or other part-time or temporary staff as assigned. Trains new employees relative to front office duties, policies, and procedures. Delegates work to seasonal office staff. Coordinates schedules for vacation, business meetings, and travel in order to ensure adequate coverage for the front office.

Schedules training for Civic Center employees and monitors attendance. Serves as Civic Center contact for community service workers; maintains records and reporting requirements to ordering entity.

Performs and supervises a variety of clerical, secretarial, and administrative work in keeping Civic Center and Independent contracts, records, and all related Civic Center purchasing.

Provides administrative support to the Civic Center Staff.

Composes, types, and edits correspondence, reports, memoranda, and other material requiring judgement as to content, accuracy, and completeness. Maintains and archives all Civic Center files.

Coordinates the development and distribution of information regarding programming, reservations, policies and procedures of the Civic Center.

Responsible for the bi-weekly processing of Civic Center staff time and hours.

Schedules, prepares, and takes minutes for the annual Lodger's Tax Advisory Board meeting.

Supervises and prepares the purchasing and processing of division supplies, purchase requisitions, Field Purchase Orders (FPO), P-card purchases, invoices, and travel requests.

Responsible for maintaining, record keeping, financial expenses and revenue related to all Civic Center shows, concerts, and reservations.

Supervises and performs the answering of telephone calls and radio calls, routes calls as needed or provides information as requested.

Responsible for the distribution of incoming mail.

Supervises and schedules appointments and performs other administrative clerical duties. Assists the Civic Center Supervisor as needed and requested.

Operates a motor vehicle to assist in carrying out the business of the division and the City.

Attendance at work is an essential function of this position.

Prepares budget documents, supervises office purchases and manages personnel issues.

Professional level of communication skills both verbal and written.

Participates in overall departmental activities as a member of the Parks, Recreation and Cultural Affairs Department.

Coordinate Civic Center Division's involvement in special events through the Parks, Recreation and Cultural Affairs Department.

Works with volunteers and serves as a member of various employee and community committees as assigned.

Assists caterers, Civic Center users, and the public with problems as they arise through superior customer service.


QUALIFICATIONS

Working understanding of all Civic Center and related facilities legal and booking documents and how the entire booking process functions for live entertainment and cinema

Ability to establish and maintain effective working relationships with the Civic Center employees, other city employees, officials, customers and the general public.

Experience in grant writing and grant administration.

Working knowledge of copyright and liquor laws involved in building operations.

Basic knowledge of supervising a commercial kitchen and catering requirements

Skilled in operation of a personal computer utilizing both spreadsheet and data base software. Ability to interact with computer-based booking software. Basic knowledge of web-based advertising and social platforms.

Working knowledge of the principles and practices of management, work organization and supervision including budgeting principles, revenue, expenditures, and cost analysis for the Civic Center office operations

This position is subject to the City's Drug and Alcohol-Free Workplace Program which includes:

pre-employment testing, post-accident testing, reasonable suspicion testing, return-to-duty

testing, and follow-up testing.

High School diploma or GED equivalent; and three (3) years of progressively responsible

experience in event planning or cultural affairs programs, including practical experience in

special event/activities; development and promotion.

Valid New Mexico driver's license with acceptable driving record for the past three years or

state of current residency.

Extensive background checks required.

This position has the responsibility to participate in and comply with the City's Environmental,

Health, and Safety program.

Other duties as assigned.

and calculator.
