We are currently looking to fill the position of Administrative Assistant / Permitting Specialist. We are seeking an individual with strong work ethic and willingness to learn and take initiative. PRIMARY TASKS:

The administrative assistant is responsible for performing a variety of administrative functions. Assignments are routine in nature and are carried out in accordance with general work instructions and established office practices. The administrative assistant is involved in document preparation, filing, customer service, invoicing, and recordkeeping. Works in conjunction with the Division Manager to ensure compliance with DOT, FMCSA, EPA and OSHA requirements.

ESSENTIAL FUNCTIONS:

  • Coordinate such services as clerical and data entry, communications, mailing, filing, printing, and recordkeeping.
  • Answers routine telephone inquiries concerning operation of the department and the emergency line for spills.
  • Prepares reports and correspondence requested by a manager where information must be obtained from a variety of sources.
  • Works with operations to prepare invoices for customers, including ensuring supporting documentation such as manifests are retained for backup.
  • Responds to and assists Division Manager and accounting with customer inquiries and past due accounts as needed.
  • Filing monthly and quarterly reports with necessary states and/or regulatory authorities for permitting and tax filings.
  • Assist Division Manager with scheduling and conducting required training for drivers.
  • Assist Division Manager with Household Hazardous Waste Collection documentation and fueling of vehicles as required.
  • Assist with random and periodic audits.
  • Balances driver advances and produces biweekly payroll reports.
  • Primary contact for electronic log inquiries from drivers to override e-logs when any drivers require assistance.

QUALIFICATIONS AND REQUIREMENTS:

  • High school diploma or equivalent.
  • Two years' experience in office environment.
  • Thorough knowledge of office practices, procedures, and equipment.
  • Strong organizational skills, including ability to keep track of due dates for inspections and required filings.
  • Knowledge of the methods and techniques used in recordkeeping systems.
  • Skill in composition, typing accurately and with reasonable speed, a variety of correspondence, reports, and other materials.
  • Ability to perform a variety of clerical assignments requiring considerable exercise of independent judgment.
  • Be able to communicate clearly and precisely, both verbally and in writing.
  • Experience in logistics or transportation highly preferred.
