Summary

The Business Support Manager will be the primary point-of-contract in Cayuse's Hawaii office, supporting day-to-day office operations, including but not limited to initial interaction with the public and employees, providing administrative support to personnel utilizing the office, managing the office reservation system for utilization of conference rooms and enclosed office space, coordinating with Cayuse's HQ Facilities Manager to ensure the office is in alignment with our other offices; ordering of supplies; mail and package management, and periodic support to Business Development and Proposal Management teams.


Responsibilities

• Manage communication systems, office equipment, utility services, office reception, mail and distribution services, and administrative duties.
• Primary individual representing Cayuse in the office during regular work hours - Monday through Friday, 8:00 am to 5:00pm (HST).
• Monitor website traffic from Cayuse's federal facing websites and coordinate follow-up as required with appropriate Cayuse personnel.
• Provide telephone support for phone calls originating from Cayuse's federal facing websites, providing messages and ensuring follow-up from appropriate Cayuse personnel.
• Provide administrative and client service support to company stakeholders, i.e., Executives, Business Development, Proposal Management, Security, and Program Management operating in the local area.
• Coordinate and direct phone calls and mail distribution to the right person.
• Keep track of office inventory, order all office and kitchen supplies.
• Interface with property management on building-related issues, coordinating with HQ Facilities
• Manage, organize and schedule meetings, appointments, events, and the utilization of conference rooms and enclosed office space.
• Coordinate with IT on all office equipment and network/internet issues.
• Manage relationships with vendors and service providers.
• Security related support in the following:

o Provide fingerprinting services to customers and process accordingly
o Maintain visitor log for classified and/or unclassified personnel
o Perform random bag searches and escorting when necessary
o Maintain access logs

• Provide general support to visitors.
• Other duties as assigned.

Minimum Qualifications

• BA/BS (preferred) or equivalent education and experience.
• Minimum of five (5) years of experience in executive support, office management or similar roles.
• Minimum of five (5) years working in a federal contracting/federal government environment.
• Ability to obtain and maintain all levels of background, security, and clearances required to perform duties of this position.
• High proficiency in Microsoft Office; including but not limited to: Word, Excel, PowerPoint, and other general software applications.
• Ability to multitask and work independently.
• Excellent time management skills and ability to multitask and prioritize work.
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills.
• Proven office management and administrative experience.
• Proficiency in oral and written communications in English.

Preferred Qualifications

• Project management experience a plus.
• Veteran status a plus
• PMP certification
• Account management

Working Conditions

• Professional on-site office environment.
• Must be physically and mentally able to perform duties for extended periods of time. Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.

• May be required to work varying work schedules and/or extended hours to meet business needs and/or project deadlines.
