SPECIAL EVENTS COORDINATOR

Variable Hour

Rate of Pay: $14.50 per hour


An additional $2.50 per hour temporary wage incentive will be offered for all hours worked July 25, 2021 through December 31, 2021.

Hourly rate and wage incentive will be paid on a bi-weekly basis.


Availability Requirements:

Must be available for a variety of shifts.

Events take place during evenings and weekends.

Office work is flexible with days and times.

JOB DESCRIPTION

DESCRIPTION OF DUTIES:

This position is responsible for assisting with coordination of community-wide specialized programs, specialist group activities and front-of-house operations. Work assignments will occur at various locations, including the Village Theater, Summit on the Park, Canton Sports Center, Pheasant Run Golf Course and the B.L.O.C.K.

EXAMPLES OF WORK: (Note: These examples are intended merely as illustrations of the various types of work performed)

  • Plan, supervise and coordinate general recreation programs and activities as assigned
  • Coordinate set-up, tear down and clean up of programs and events
  • Responsible for recruiting, interviewing, training, scheduling and supervising part-time/seasonal recreation staff as directed
  • Responsible for purchasing supplies and equipment for programs and activities
  • Ensure safety rules, policies, regulations and procedures are followed by public and employees
  • Prepare information and reports for budgets, monthly and annual reports as applicable
  • Maintain accurate program, activity and equipment records
  • Responsible for responding to, communicating and documenting emergency situations and incidents, including but not limited to First Aid, CPR, severe weather, and missing child events
  • Responsible for keeping abreast of community needs and current trends in the recreation area to ensure the delivery of quality customer service for program and activity participants and guests
  • Work with community organizations, groups and individual citizens to promote recreation programs and events
  • Responsible for interaction with participants, families and staff members in a positive, professional and friendly manner to ensure a high level of customer service and delivery of quality recreation programs
  • Ensure proper ADA accommodations are met in the facility
  • Inspect and prepare facilities and equipment for planned programs and events; report equipment damage to Building Attendant/Recreation Specialist
  • Responsible for scheduling staff to assigned programs, events and camps
  • Recruit instructors and evaluate programs from a customer service perspective
  • Coordinate program entry and room reservations utilizing registration software
  • Operate Township vehicles, including a 12 passenger van while pulling a trailer, to transport program participants and supplies as assigned
  • Responsible for enforcement of departmental rules and regulations, operating procedures, and policies
  • Responsible for working with vendors, instructors and entertainment to ensure proper contracts are in order for services
  • Perform other duties as required

ESSENTIAL JOB FUNCTIONS - KNOWLEDGE, SKILLS AND ABILITIES:

  • Minimum of 18 years of age
  • High school graduate or GED required
  • Previous customer service experience required; supervisory experience preferred
  • Previous recreation experience working in similar facility or program preferred
  • Must possess a current, valid Driver's License with a driving history that does not create liability concerns; which includes, but is not limited to, convictions of reckless driving, careless driving, suspended license, or convictions involving drinking and impaired driving
  • Strong organizational and communication skills required
  • Ability to operate a 12-passenger van equipped with a wheelchair lift, with the ability to tow a trailer behind the van as necessary
  • Ability to perform manual lifting and loading of program supplies and equipment
  • Ability to clearly communicate procedures, problems, and policies with fellow employees and the public tactfully and courteously
  • Ability to demonstrate techniques and skills associated with assigned programs and activities
  • Ability to respond to emergencies in a calm and efficient manner
  • Skill in organizing self and others; ability to self-start in discharging responsibilities
  • Ability to work a wide variety of shifts including afternoons, evenings, weekends and holidays
  • This is an "At-Will" position: Work assignments and hours are scheduled based on availability, division requirements and within the confines of the budget. Schedules and work hours are not guaranteed and are subject to change at any time due to division needs, budgeting constraints and staff availability

  • This is a variable hour job opportunity. Hours fluctuate week to week. Work hours are determined based on workload and availability. An employee in this position will primarily work during a defined season and may be scheduled to work intermittently during the remainder of the year.
