Administrative & Finance Coordinator
Work Location: Anaheim (preferred), Sacramento, San Diego, or San Jose. Hybrid work schedule utilized through June 2023.
Term: Part-time (20 hours/week), Temporary through the end of August 2023
Position Status: Non-Exempt
Pay Range: $25 - $28/hour commensurate with skills and experience
Reports to: CAIR-CA Operations Manager
Requirements: Must have authorization to work in the United States and proof of COVID-19 Vaccination/Boosters.

DUTIES & RESPONSIBILITIES:
- General bookkeeping and accounting tasks including maintaining related documentation
- Coordinating day-to-day finances for CAIR-CA via QuickBooks including payment requests, employee reimbursements, and interoffice invoicing
- Maintain payables, receivables, liabilities, bank account reconciliations, cash flow projections, and journal entries
- Prepare deposits, checks, and invoices
- Assist and support with payroll processing including reviewing timekeeping, sending payroll reminders, and pulling reports
- Prepare accounting schedules, monthly financial statements, and financial reports for various projects
- Support offices with employee and board member onboarding and offboarding
- Provide IT support including requesting new emails, updating listservs, and managing the VOIP phone system
- Support with programmatic logistics including researching venues and related vendors
- Complete administrative duties such as filing (maintaining systems both electronic and physical), copying, scanning etc.
- Maintain shared office calendar
- Receive, distribute, and send mail
- Assist with ordering supplies, marketing material, and swag
- Coordinate in-person and virtual meetings including sending calendar invitations, reminders, setting up Zoom, and taking notes
- Coordinate meeting logistics including travel and lodging arrangements
- Coordinate the day-to-day inquiries from local offices
- Perform special projects and other duties as required and requested
QUALIFICATIONS:
- High School Diploma or GED with a minimum of 1-year experience in an administrative role
- Nonprofit work experience (preferred)
- Proficiency in using QuickBooks, Microsoft Office Suite, Zoom, and Asana (preferred)
- Basic computer maintenance knowledge and ability to learn basic server and networking skills
- Excellent oral and written communication skills to interface with staff, volunteers, board members, and vendors in a professional and effective manner
- Professional integrity and ability to maintain the confidentiality of sensitive data
- Ability to prioritize multiple projects, work independently in a fast-paced environment
- Strong organizational skills, detail-oriented, ability to multi-task and meet deadlines
- Ability to work independently, be flexible, and work well under pressure in a fast-paced team environment
COMPENSATION:
- $25-$28 commensurate with skills and experience
- 5 paid sick days
- 3% employer-matched retirement plan
