Avalon Consulting Group a full-service fundraising consulting agency is looking for a positive, organized and capable, Administrative Coordinator to help foster an exceptional client and staff experience as well as fulfill our mission by supporting our President, COO and Marketing staff with their administrative needs. In this role, you will be responsible for the following:

  • Providing Executive Assistant support to the President and COO including preparing presentations, drafting and proofreading correspondence and confidential documents, meeting scheduling and serving as the company Notary.
  • Providing administrative support to the Marketing VP by updating and preparing marketing proposals, presentations, work samples, seminar and conference materials, publications and award submissions, advertising materials, creative briefs, PowerPoints etc.
  • Coordinating company social media and website content, tracking performance, and fielding new business inquiries.
  • Overseeing Avalon's client sponsorships, memberships, conference, and event attendance.
  • Supporting Avalon's culture, client cultivation and staff engagement by maintaining birthday and anniversary lists, coordinating holiday preparations, stocking office snacks and beverages, sending greeting cards, gifts and other activities as needed.
  • Helping to ensure a positive visitor experience by operating the front desk and reception area, greeting visitors as well as ensuring common areas and conference rooms are prepared for guests.
  • Managing Avalon's office facilities including helping to allocate space, ensuring appropriate access and security, coordinating parking programs, and liaising with property management.
  • Managing the office supply budget and ordering.
  • Planning and coordinating company events including internal staff parties, client events and other company gatherings.
  • Managing executive travel, including budgeting, booking and other details.

While our team is currently working fully remote, we look forward to returning to our beautiful downtown DC office this Fall where we enjoy small 2 person offices -- no cubicle land for us!

What We Need:

To be an ideal fit for us, you should have previous experience providing administrative and reception support in a professional, office environment. You must also have expert knowledge, demonstrated through experience, of Microsoft programs including Word, Excel, and PowerPoint and Teams. Experience with Microsoft Publisher, Salesforce CRM, Google Analytics, and email deployment platforms would also be a "plus". You must a possess confidence handling multiple projects as well as excellent writing and proofreading skills.
