At The Crossroads' (ATC) mission is to reach out to homeless youth and young adults at their point of need and work with them to build healthy and fulfilling lives. Currently, ATC is intent on creating a more equitable Bay Area for all and this role will help us grow our movement.

The Operations Associate is instrumental in making sure that all ATC staff can successfully work towards accomplishing our mission. This position is critical to ensuring that ATC is meeting its commitment to our clients and supplies are getting on to the streets. The management of ATC's essential supplies and the coordination of our volunteer program are core to our organization's mission. This position has a direct influence on the stability and future development of the organization. It is a great opportunity for an organized and detailed individual who is a systems thinker, can manage multiple projects simultaneously, and is relationship-oriented. They also realize the importance of how well things are done "behind the scenes" in an organization's success and will want to have a voice in agency improvements.

Operations Associate

Reports To: Director of Operations and Finance

Schedule: Full-time, 40 hours/week, including some evenings.

Compensation: $45,760-$61,600/year depending on experience. Comprehensive Employee Benefits include 99% of employee medical, dental, vision coverage paid by employer, full life and long term disability coverage paid by employer, commuter benefits, wellness account & three weeks paid vacation per year to start. This is a full-time, hourly, non-exempt position.

RESPONSIBILITIES

Inventory and Supply Management

  • Coordinating office, event, and program supply ordering, receiving and distribution
  • Maintain organized storage rooms and receiving areas as we receive supplies
  • Maintain food pantry through weekly shopping at the Food Bank
  • Organize and maintain inventory organization & flow including in-kind donations (pick-ups, tracking, and data entry)
  • Assist development department with researching/maintaining new/current relationships with in-kind partners
  • Coordination and promotion of community fundraisers, i.e. holiday party and clothing, candy, toiletry and sock drives and supporting community members around in-kind drives

Volunteer Coordination

  • Together with our Development Coordinator, coordinate and co-host ATC's group and corporate volunteer nights
  • In partnership with the Development team, assist in recruiting volunteers through our existing ATC community and the Bay Area as a whole
  • Train and supervise weekly office volunteers
  • Maintain systems that empower volunteers to work independently
  • Manage all volunteers' schedules, data tracking, and communication
  • Partner with staff to develop strong systems and clear communication for volunteers whose activities intersect with program work
  • With support of volunteers, ensure that storage rooms are organized and easily accessible
  • Coordinate annual volunteer appreciation event

Administrative Support

  • Program administrative support (eg. gift card requests for clients, purchasing supplies for incarcerated clients, organize client mail, data entry in program database)
  • Support Director of Operations and Finance with general office management & maintenance, including troubleshooting office equipment and technology
  • Make weekly deposits at the bank
  • Process all donations in our donor database (we use Salesforce)
  • Provide support for various finance related projects as needed
  • Manage incoming & outgoing mail, including our P.O. box
  • Maintain ATC organization calendar

Other Responsibilities

  • Opportunity to participate in nightly outreach once per month
  • Attend various staff and Admin Team meetings as scheduled

QUALIFICATIONS


Required:

  • Highly organized and detail-oriented
  • Hard-working and self-motivated
  • Outgoing and friendly; a people person
  • Strong ability to build relationships with people of diverse backgrounds, belief systems, and abilities
  • Comfortable taking direction
  • Proficiency with Microsoft Office and Google platforms
  • Ability to work well independently and work well as part of a client-centered team
  • Ability to think big-picture and implement projects and systems
  • Ability to work effectively and efficiently in an often busy environment
  • High level of flexibility and ability to adapt to changing priorities
  • Flexible schedule that accommodates the needs of the organization and the schedules of volunteers
  • Comfort with ATC's philosophy for working with youth and young adults
  • Valid Driver's License

Preferred:

  • Physical ability to lift and move reasonably heavy boxes
  • Experience supervising volunteers and/or interns desired
  • Experience coordinating events
  • Two years or more of office management or translatable experience
  • Experience working in a small to medium office setting. Nonprofit experience is a plus.
  • Knowledge of Salesforce
